How to use Mail Merge DOCX Letters
- Enter CSV rows with a header for each placeholder.
- Write the plain letter template using {{header}} fields.
- Generate the ZIP, open the DOCX files and check every recipient.
Example: Mail Merge DOCX Letters
Create one plain letter from a named CSV field.
Options
- UTF-8 CSV file (optional)
- A chosen UTF-8 file replaces the pasted rows; the two sources are not combined. Check which source is active before generating recipient files.
- Pasted CSV
- Give each placeholder a matching unique CSV header. Keep every recipient row aligned with those headers, and quote values that contain a comma or line break.
- Plain letter template
- Use double braces around the exact CSV header, such as {{reference}}. An unknown placeholder is refused instead of being silently left in a letter.
- Filename column (optional)
- An optional CSV column helps name each letter. A row number is still included to prevent duplicate names from overwriting one another.
Supported inputs and limits
Where your input is processed
This tool processes your input in this browser. Your text and files are not uploaded to UseFreeTools. Check this tool's limits for anything it may save on your device.
Review the data before generating personal letters
Headers connect row values to placeholders. A misspelt header or a shifted CSV column can put the wrong information in a letter even when a file is created successfully. Use a non-sensitive row first, then open several actual DOCX files and check recipient details before sharing the ZIP.
The template is plain text
The tool creates simple paragraphs from your template rather than importing an existing Word design. It does not send mail, verify an address, preserve a DOCX letterhead or interpret conditional template expressions. Keep styling and delivery as separate steps when the document needs those features.
